Pharma distribution software: batch, expiry, FEFO and credit, explained

THE SHORT ANSWER

Pharma distribution software has to know every batch and its expiry, pick the batch that expires first (FEFO), hold back stock that is too close to expiry to sell, and stop an order when a retailer is over its credit limit. The demo in this post does all four on sample data.

A back office screen for a pharma distributor listing batches with expiry dates picked nearest expiry first, and a retailer held at its credit limit.

Pharma distribution software needs four things that general billing tools do not do well: stock held batch by batch with expiry dates, picking the batch that expires first (FEFO), holding back stock too close to expiry to sell, and stopping an order when a retailer is over its credit limit. Everything else, such as invoicing with GST and reports, is built on those four.

The four features, in plain words

FeatureWhat it meansWhy it matters
Batch wise stockEvery carton is counted under its batch number and expiry date, not just its product nameRecalls, returns
FEFO pickingFirst expiry, first out: the order is filled from the batch that expires soonestLess expired stock
Near expiry holdStock inside a set number of days to expiry is not offered to retailersFewer returns

What a distributor's day looks like on it

Retailer orders arrive from the app, the field team or a phone call and land in one queue. Each is checked against the retailer's credit, picked by FEFO, invoiced with GST and dispatched, and the owner's screen shows outstanding by retailer and stock near expiry every morning. Questions to ask any vendor

  • Can it show every retailer who received a given batch, in one search?
  • Is the near expiry window a setting you control, per product if needed?
  • Does an over limit order stop, or only warn?
  • Can field staff place orders with a weak signal and sync later?

Questions people ask

What is FEFO in pharma distribution?

First expiry, first out. When an order is filled, the stock is taken from the batch that expires soonest, so less stock expires on the shelf.

Why does pharma software need batch wise stock?

Because recalls, returns and expiry all happen by batch. Counting stock by product name alone cannot tell you which retailers received a given batch or how much of it is close to expiry.

How do credit limits work in distribution software?

Each retailer has a limit. When a new order would take their outstanding over it, the order waits for approval instead of being dispatched, so credit is controlled before the goods leave.
